Starting today, Google will provide templates that it claims makes it possible for users with no technical background to create web sites with a degree of functionality that includes page layouts, adding links for navigation and embedded gadgets.

Templates are available for intranets, project sites, team sites, employee profile pages and other sites that people would use within the enterprise. Employees using Google Sites may submit their own templates to a gallery, similar to the services that Sharepoint offers.

Google Sites is making a clear strike against Microsoft which requires a certain level of technical skill to create a Sharepoint site.

The differences between Google and Microsoft are often quite striking. Microsoft is a document-centric organization. Sharepoint uses a file system architecture for customers to deposit their documents. With Sharepoint, companies may use a web inetrface to share their documents.

Google's approach is entirely web centric. Documents are web pages. Each document is a link, not a file. When documents are uploaded to Google, they are converted, so to speak, each document receiving its own unique URL.

It is this approach that you see with Google Sites. By being entirely web-centric, Google believes it is making it easier for employees to share information, act faster and cross-pollinate ideas.

It's difficult to say which approach is better though web converts will tell you that sharing web links is far easier than files. We agree with that point but the Sharepoint environment is tremendously popular. It has its core set of users who are happy that they can share documents in such a manner. Most organizations work in a document centric environment and are therefore comfortable with Sharepoint. It's an environment that many people trust.

Google Sites is indeed a major improvement over SharePoint in terms of the ease with which sites and workspaces can be built. But one of the problems working with Google Docs is that it works best only with basic formatting. Google Docs can be best seen as a place for collaborating on textual information, rather than a place to build documents with advanced formatting of the kind people are used to with MS Office. Although you can import documents from MS Word, but it is well known that advanced formatting is barely ever retained. Moreover, you would have problem collaborating with outside partners, vendors or clients which work with MS Office and not Google Docs.

At HyperOffice, we ourselves have made enhancements to our page/workspace publisher recently, which we think makes it one of the easiest publisher tools to work with in the market. All you need to do to build a page is just drag and drop page elements and modules (text box, images, links, calendar, announcements, files, file library, polls, forums, task management, advanced code etc etc) to any section of the page you like. You don't even need a static editor to design a page. All you need is some drag and drop smarts. (you can see a screenshot here - http://blog.hyperoffice.com/2009/10/19/collaboration-software-upgrades-009/)

I might be missing something here, but hopefully a savvy reader can help me out.

When I create a new Google Site using one of their "project management" templates, I see it automatically includes a "project files" and/or "file cabinet" page. At first I thought this was great! But...

It seems this "project files" page has no relationship with Google Docs. It simply creates a file upload/download feature for people to, well.. upload and download docs.

It does not work like Google Docs, which for me is critical in project management online. For example, from INSIDE Google Sites (utilizing my Google Apps domain) I need file collaboration to:

1. Be one centralized document - like Google Docs.
2. Be viewable/editable directly from within the browser (not download to view/edit and re-upload to post changes) - like Google Docs
3. Have versioning history - like Google Docs.

If I'm doing something wrong and this *is* possible from within my Google Site(s), please let me know.

First as to the confusion regarding where these templates live - these are SITE templates. not page templates. i don't think you can apply them to existing google sites, but if you start a new one, you'll see them.

Second - Google seems to be far easier to use end-to-end than sharepoint for the non-techie. its not just about web centric vs document centric. the templates include some that are intended to be very public facing - for businesses, schools families etc, whereas sharepoint is typically corporately driven and works best for internal collaboration. but there's usually IT managing sharepoint on the backend in the corporation. nobody needs IT to manage their google site.

I have been using Google Sites for over a year. I also migrated my email to Gmail apps at the end of 2007. This has worked very well for me after decades of using MS products. I used to say that Outlook was my favorite program. Now, I keep my mouth shut most of the time when someone mentions it. It's a dinosaur. It's on my laptop. I don't open it unless I absolutely have to. And that is very rarely.

I do sales and marketing for book publishers and technology companies, so I have a lot of projects, deadlines, etc., to keep track of. Everything I do is deadlined, high pressure and high stakes. I need systems that will support me and be there even when the IT guys who are supposed to make everything happen are taking a national holiday in their part of the world. So, I need cloud-based systems. Between Gmail, Google Docs, etc., and a Firefox add-on for task and project management that I am absolutely in love with (GTDInbox.com -- I am actually helping them with their marketing because I believe they have a lot to offer) I am able to get my work done in a timely way.

But, back to the Sharepoint question, one of my client companies uses Sharepoint as their system of choice. They are a book publisher and have their offices in Australia, IT in Asia, marketing and executive functions in the US, and branches in Europe. I have to use Sharepoint to work with them. Sharepont is difficult to find information in. It is slow. Its version of a blog lacks an RSS feed. The calendar is so bad it is beyond belief. It is closed to outside input (as in from customers). The company has a full-time employee who spends most of her time adding documents to Sharepoint and sending everyone else annoying emails to notify us that she has added them. What a waste! If they migrated to Google or any cloud-based system, they would quickly streamline much of their work and move ahead that much faster.

The problem with Sharepoint is that is is based on a way of doing business that no longer works, except for large companies that can continue to employee highly qualified IT staff with time on their hands. It's not agile. It's not lightweight. It's stolid, solid and monolithic. That's great, for companies that can afford this approach. It's not great for companies that are trying to grow rather than control and defend their empires.

For those of us who are in start-up mode or who have chosen to always stay small, this model doesn't work anymore. Huge companies, that can use Sharepoint and other MS programs and that can maintain these programs on thousands of desktops across multiple time zones, can remain competitive in the global market; however, smaller companies, which cannot afford the IT staffing levels to support MS products, also cannot afford to continue using Sharepoint or other labor-intensive products. They would do better to migrate to cloud-based systems that off-load the IT infrastructure so that their employees can get things done without wasting time on IT problems.

I know that I may be coming across as very fixed in my ideas about this, but I am not. My mind is always open to something new. However, as far as Sharepoint goes, I don't see how any company that adheres to such a high-cost, high-maintenance system can hope to survive on anything other than juggernaut-level inertia.
