Top 10 Online Small Business Collaboration Tools

With the growing number of online services, it's becoming more economical for small business to rely on web-based tools rather than expensive enterprise software. Not too long ago we brought you 5 Web Apps To Keep Your Startup Organized, and now the website Business Pundit has released their top 10 list of online collaboration tools for small businesses.

Call it Web 2.0, or Enterprise 2.0; the fact of the matter is that online services just make more sense for businesses on a budget. Because these software platforms are web-based, users can use any computer to access them at work, at home or even on the road. They eliminate the need for expensive software and fewer IT employees are required for setup, updates and patches to systems.

]]> Considering these benefits of online tools, Business Pundit's list of collaborative services is an excellent resource for startups and small businesses looking to save some cash while still getting things done as efficiently as possible.

Topping their list is OfficeMedium, a service we profiled last fall which provides a wide variety of collaborative features wrapped up in an elegantly designed interface. With live chat, user profiles, polls and calendars, OfficeMedium is a social collaboration network for your company.

While the service is relatively inexpensive with monthly costs of just $6 per person and $1 per gigabyte of storage, you may be disappointed by a lack of mobile application and developer API if your company is constantly on-the-go.

Coming in just behind OfficeMedium is Basecamp, a service that we use daily here at ReadWriteWeb and which made our top 5 list of organization apps for startups. While the two services are more or less functionally comparable, Business Pundit puts Basecamp in second place due to its less-than-thrilling (though customizable) interface design and a few functionality gripes. For the mobile business, Basecamp's API has allowed for over a dozen mobile applications, which could be a feature that makes it the #1 choice.

Rounding out the rest of the top 5 are CubeTree, WizeHive and SocialText - three powerful web applications which were deprived of the top spot by a few lacking features, design problems and ease-of-use issues. The remainder of the top 10 includes CentralDesktop, Onehub, PBWorks, Zoho Projects and Socialcast.

Most of the solution proposed here are incomplete. Have you tried Feng Office (ex: opengoo)

We use it in our organisation and it can easyly compete with Office Medium. feng office provide an email client+projetc, calendar, dashbord...

Moreover, fengoffice (ex: opengoo) is opensource & free,
So, if you really want to save you money...

I am really surprised that you don't propose any open source solution at all.

www.yoolinkpro.com is a very effective social network / intranet 2.0 for SME.
The design of the service make it very easy to use wich is the key for collaboration.
The service is much more powerfull in structuring knowledge found on the internet than his other competitors that are more twitter-like only.

I would like to suggest another online Business Collaboration Suite called Taroby, which has worked wonderfully well for me and my entire team, in keeping our emails, messages, tasks and business processes organized. I like the article and I believe these collaboration tools make a lot of sense. However, I have found that many of the tools are broad and generic. When collaborating with clients and prospects, I found that DRE Software, Inc. (www.dresoftware.com) is best for our purpose. We also use the tool to collaborate internally. I love the idea that their prices allow us to create unlimited collaborative spaces, and there is no data storage limit. Overall a great tool from a young company.

I checked out all the services mentioned in the article and comments, and Hyperoffice wins by a long shot. It offers online collaboration, an intranet, lots of layers for organizing projects, in-project emails, webinar services, great calendar views of projects, and the ability for the administrator to assign administrator powers to different group leaders. Plus, unlike a close competitor like FengOffice, it's intuitive and easy to use and comes with extensive tutorials.

It's a bit more pricy than some of the other services, but for what you get, it's well worth it.

How do I use visual voicemail for collaboration? A lot of times when one of my prospects or customers call me, they're asking a question about something w.r.t our products. The service lets me forward the voicemail so the engineers can hear the question in the customer's own words. Then we collaborate on e-mail with the original audio right there. Sometimes the engineer can reply back via email with original audio, too.

The BCN DRE Software is web-based business collaboration software that can be set up by anyone without the help of It resources. I just found out they are now planning to add web conferencing in a future release.
We use the BCN to collaborate with our customers, prospects, partners and other colleagues in a secure, personalized work space. It makes me wonder what we did without it. They gave us a free trial we used for all kinds of business scenerios
that have work really well for us. We keep finding more and more ways to use it. We have gotten very positive feedback from our customers and I think it has really improved our response time with the email integration. We have the whole team on the same page. I think we will see big cost savings once the web conferencing is implemented. We have CRM but found there was a big hole that the DRE software filled without having to download any software we can access from anywhere and it has helped us solve issues with our offices in different time zones.There is no limit on the number of work spaces our users can create and we have unlimited storage space for all the imformation we need to share.

Who's name I will not mention.
I can really appreciate all the comments as we looked at a number of solutions and did a few trials before selecting DRE as our business collaboration software. Love that there is no software to download. It was recommended by Smart Selling Tools founder and editor Nancy Nardin. The Executives of sales and marketing are invited to our spaces and they can see where things are with our customers and prospects. We especially enjoy the library we put together for customer facing documents that apply to each specific customer or prospect. We use the dedicated workspace throughout the projects and for ongoing support.
We also use many different workspaces for internal and external resources/Teams and contacts since workspaces and storage is unlimited. With the email integrations we are always connected!

We were paying $49.00 a month for go to meeting just for web conferencing and for $19 a month we get both!
This is a great business collaboration tool using the Business Collaboration Network BCN.
There is no software to download. You have access any time from any where. DRE's web conferencing is very easy to use.
In today's business market you need every competitive advantage you can find. I think it's a great way for us to build customer loyalty and keep our focus on our clients.

They invested a lot of time to help me learn how to make the tool a part of my normal collaboration process with my customers. I love that's it's web based too. My company (there's 15 of us) is using GroupCamp Project (http://www.groupcamp.com/project). We use it for our whole product lifecycle especially with multiple sub-contractors.

We've tried other tools before. What we like about GroupCamp Project is how it's designed to manage multiple outside companies and deciding which company you should invite to a project. The other think we like is the email integration. Very well done. But I agree with John above, not easy to pick a tope 10 especially when not everyone has the same needs

I use HumanEdj. It lets you make plans for collaborative work very easily by creating Stages then giving people deliverables in each Stage. I found HumanEdj much simpler and quicker than typical project management tools (I’ve tried BaseCamp, Zoho, MS Project, and many more). HumanEdj is especially useful for doing the work in a plan, since HumanEdj automatically puts documents, chat messages, etc just where you want them.

Business collaboration software is a huge category of uses - from document sharing to web conferencing to project management. The MS Office products do a pretty good job of sharing at the individual level while SharePoint for intranet document management and team collaboration works well for mid size and enterprise.

Collaborating on documents and holding teleconferences/web conferences with a team of people continues to be a challenge even with enterprise grade tools. We are working on a new tools called Paper Tablet that addresses both of these problems. Currently, when I am working on a document with others, I would print out the entire word, powerpoint, or pdf document, write comments on it, scan it, and email it back to my team to incorporate changes. We are working on an iPad app that will allow me to "print to tablet", make changes electronically on the iPad, save it or send it to the team via email, thus bypassing the need to print out anything. The next phase is to create the ability to hold a web conference and collaborate live from the iPad. Check it out at www.tip9.com.
